Most CRM advice assumes the tool is fine and your team just needs to use it better.

That's the wrong diagnosis.

Slack published a roundup of CRM best practices — cross-functional collaboration, real-time visibility, team adoption. Standard stuff. Nothing wrong with any of it. But the advice is written for teams where the CRM already fits the business. Where the fields make sense, the workflows match how deals actually move, and nobody's maintaining a shadow spreadsheet to fill the gaps.

That's not most mid-market ops teams.

If your people aren't logging data consistently, it's rarely a discipline problem. It's usually because the system makes the right behavior harder than the workaround. You can train adoption all day. You can't train people into loving a tool that fights them every time they open it.

Real-time visibility sounds great in a blog post. In practice, it means your CRM has to actually reflect how your pipeline works — not a generic version of how pipelines work. Cross-functional collaboration breaks down fast when sales, marketing, and ops are each working around a different limitation in the same platform.

The best practices matter. The platform has to make them possible first.
